HOTEL PARTNER TERMS & RESPONSIBILITIES

These terms outline the responsibilities and expectations for hotels participating in the Hotel E-Bike Rental Program. By joining the program, the hotel (“Hotel Partner”) agrees to the following:
1. Program Overview
Hotel E-Bike Rental provides a fully managed, turnkey Class 1 e-bike amenity for hotel guests.
We supply the equipment, insurance, maintenance, booking system, and support.
The hotel earns % of the revenue on all rentals with no cost, no staffing, and no liability exposure.
2. Hotel Responsibilities The Hotel Partner agrees to:
2.1 Provide a Designated Bike Area
Supply a small outdoor space for 10 e-bikes and the docking rack system.
- Ensure the location is accessible to guests.
2.2 Support Guest Awareness
- Allow placement of signage, QR codes, brochures, and promotional material.
- Inform guests that the service is available and fully managed by Hotel E-Bike Rental.
2.3 Assist With Customer Direction (Not Operations)
Hotel staff may:
- Inform guests how to book using QR codes
- Direct guests to the bike area
Hotel staff are not required to:
- Handle payments
- Provide helmets
- Perform maintenance
- Unlock bikes
2.4 Provide Basic Security
Hotel agrees to:
- Notify us of vandalism, suspicious activity, or unauthorized tampering
- Allow GPS-monitored bikes to remain on-site overnight
Hotel staff are not responsible for theft — all coverage handled by Hotel E-Bike Rental.
3. Hotel E-Bike Rental Responsibilities
We provide:
3.1 Full Service Operations
- Daily inspections
- Cleaning and maintenance
- Battery swaps
- Repairs and replacements
- GPS tracking monitoring
- Safety compliance with local laws
3.2 Insurance & Liability
Hotel E-Bike Rental provides:
- General liability insurance
- Fleet coverage
- Guest accident coverage
Hotel is named as an additional insured and carries zero liability for rider actions.
3.3 Technology & Booking
- Checkfront rental system
- Digital waivers
- Payment processing
- Guest confirmation emails
- Usage reporting
- Revenue payout documentation
3.4 Guest Support
- Technical and customer support
- Assistance with equipment or safety issues
- Incident reporting and follow-up
4. Revenue Share Terms
The revenue share is structured as follows:
- Hotel receives pre determined % of rental revenue
Payments are made:
- Monthly, with a full usage report
- Delivered to the hotel’s accounting department
Reports include:
- Total rentals
- Gross revenue
- Hotel share
- Company share
- Waiver compliance
- Any adjustments or notes
5. Liability & Waivers
- Every guest must complete a digital liability waiver before riding.
- The waiver transfers all operational risk to the rider and Hotel E-Bike Rental.
- The hotel is fully protected against lawsuits related to:
- Rider injury
- Bike malfunction
- Property damage caused by guest use
The hotel does not manage waivers — all handled through our system.
6. Equipment Ownership
All equipment is fully owned by Hotel E-Bike Rental, including:
- E-bikes
- Batteries
- Chargers
- Racks
- Helmets
- Signage
- Software platform
Hotels do not bear replacement or maintenance costs.
7. Seasonal Deployment
- Bikes are installed and removed at no cost to the hotel.
- Dates may vary by region.
- Hotel receives notice and scheduling before installation and removal.
8. Termination
Both parties may terminate with 30 days' written notice.
Upon termination:
- Bikes and equipment will be removed by Hotel E-Bike Rental
- Final revenue payouts will be processed within 30 days
9. Governing Law
These terms are governed by the laws of the State of Wyoming, unless otherwise specified in the full hotel contract.
10. Acceptance of Terms
By participating in the Hotel E-Bike Rental partnership, the hotel agrees to comply with these conditions and recognizes Hotel E-Bike Rental as the operational manager of the amenity.
